Sync your calendar to block your availability

Keep personal life from getting double-booked

If you connect your personal calendar, the events on it automatically block your
availability in BodyWorkr. Book a dentist appointment, a class, a day off, or a shift at
another studio, and that time stops showing up as bookable here — without you re-entering
anything.

This is one-way and read-only. BodyWorkr reads your calendar to block time; it never
creates, edits, or deletes anything on your calendar.

Your privacy is protected

Only you ever see what your events are. To everyone else at your workplace — front
desk, other providers, admins — the time simply shows as unavailable. Event titles, notes,
and locations are never shown to anyone else and are encrypted where we store them. So you
can connect a calendar that has "doctor," "therapy," or anything personal on it without the
studio seeing why you're busy.

Connect a calendar

Go to Profile → Calendar. You have two ways to connect:

  • Google or Microsoft — click Connect Google or Connect Microsoft and sign in.
After connecting, pick which of that account's calendars should block your time (they
start off, so nothing blocks until you turn it on).
  • Apple/iCloud, or any other calendar — use Add by link. In Apple Calendar (or any
app), publish or share the calendar to get its link, then paste it in. This also works for
Fastmail, published Outlook calendars, and more.

If the Google and Microsoft buttons aren't there yet, they haven't been switched on for
your BodyWorkr site. The "Add by link" option always works.

If you work at more than one location

When you set up a calendar, you can choose All my workplaces or only specific ones.
That lets a personal calendar block your time everywhere you work, or just at one studio.
(You'll only see this choice if you're a provider at more than one business.)

How often it updates

BodyWorkr checks your connected calendars every few minutes, so same-day changes show up
quickly. There's nothing to refresh manually.

Keep it connected

If a connection ever expires — for example you change your Google or Microsoft password —
we'll email you to reconnect it. Until you do, that calendar stops blocking your time, so
it's worth reconnecting promptly to avoid double-bookings.

Remove a calendar

On the same Profile → Calendar page, turn a calendar off to stop it blocking your time,
or remove it entirely. Removing it deletes the synced events from BodyWorkr.
