See your schedule in your own calendar

You can subscribe to a private feed of your BodyWorkr schedule so it shows up right
alongside your personal events in Apple Calendar, Google Calendar, or Outlook. It
includes every appointment and time block across all of your locations, and each
appointment carries the location's address — so you always know where to be.

For privacy, the feed never shows client names or any client details. Each entry
shows only the service, room, location and address, time, confirmation status, prep/cleanup
time, the studio phone, and a directions link. Personal time blocks appear simply as
"Unavailable".

Get your link

  1. Go to Profile → Calendar subscription.
  2. Click Generate calendar link.
  3. Use Add to calendar, or Copy the link to paste into your calendar app.

Subscribe on each device

  • Apple (iPhone, iPad, Mac): Tap Add to calendar, or go to Settings → Calendar →
    Accounts → Add Account → Other → Add Subscribed Calendar and paste the link.
  • Google Calendar: On a computer, open Google Calendar, click + next to "Other
    calendars", choose From URL, paste the link, and click Add calendar.
  • Outlook: In Outlook on the web, go to Calendar → Add calendar → Subscribe from
    web
    , paste the link, and Import.

Frequently asked questions

How often does it update?

Your calendar app decides how often it refreshes the feed — BodyWorkr does not control it.

  • Apple lets you choose the refresh interval when you add the calendar (as often as
    every 5 minutes).
  • Google and Outlook refresh subscribed calendars on their own schedule, usually every
    few hours, and this can't be changed. A brand-new or just-changed appointment may take a
    while to appear. This is normal — the appointment is always correct inside BodyWorkr; the
    calendar app is just catching up.

How do I tell if an appointment is confirmed?

Appointments the client hasn't confirmed yet show (unconfirmed) in the event title, and
every event's details include a Status line (Not yet confirmed, Confirmed, Checked in, or
Completed). Confirmed appointments have a clean title with no marker.

Does it sync all of my appointments?

No — it syncs a rolling window: a set number of days in the past and in the future
(by default, 30 days back and 365 days ahead). You can change both on the
Profile → Calendar subscription page under "How much is included".

If an old appointment drops off the window, does it disappear from my calendar?

Yes. A subscribed calendar is a live mirror of the feed, so when an appointment ages past
your "days in the past" setting, your calendar app removes it on its next refresh. If you
want more history to stay on your phone, increase the "days in the past" value.

Why don't I see an appointment booked several months out?

It's outside your "days in the future" window. It will appear automatically once it comes
within range — or increase the "days in the future" value to see further ahead.

Will editing an appointment create a duplicate on my calendar?

No. Each appointment has a stable identifier, so when it moves or changes, your calendar
app updates the existing entry in place instead of adding a second one.

Is any client information included?

No. The feed intentionally contains no client names, contact details, or notes. This keeps
your schedule safe even though calendar apps store a copy of the feed on their own servers.

Who can see my link?

Anyone who has the link can see your schedule and work locations, so keep it private. If it
ever leaks, use Regenerate link to revoke it.

I regenerated my link — why does the old one still work for a while?

Regenerating immediately stops the old link on our side, but Google and Outlook may keep
showing the previously cached data for a few hours until they next refresh. Re-subscribe on
each device with the new link.

Changing your window

On Profile → Calendar subscription, set "Days in the past" (0–90) and "Days in the
future" (1–730), then Save. Your calendar apps pick up the new range on their next refresh.
