Vagaro is not built for massage-specific clinical workflows — there are no SOAP notes, no body charting, and no clinical documentation tools. How we're different
Clinical documentation
Vagaro
Vagaro does not offer SOAP notes, clinical charting, or any clinical documentation tools. It is fundamentally a scheduling and business management platform built for service businesses — salons, spas, fitness studios — not clinical practitioners. Massage therapists who need clinical documentation use Vagaro alongside a separate documentation tool, which creates data fragmentation.
Our approach
SOAP notes, body diagram charting, customizable clinical templates, and intake forms with contraindication flagging are planned as core features. Clinical documentation belongs in the same system as scheduling — not in a separate app.
Consumer marketplace
Vagaro
Vagaro's consumer marketplace is one of its primary value propositions. Consumers searching for spa, salon, or fitness services encounter Vagaro business listings. For a new business building a client base, this visibility has genuine value. The tradeoff: Vagaro gets a position between the practitioner and their clients, and referral traffic from the marketplace can dry up if rankings change.
Our approach
No consumer marketplace planned. The focus is on tools that help practitioners build and retain their own direct client relationships — not on positioning a platform between practitioners and their clients.
Target market breadth
Vagaro
Vagaro's breadth is both a strength and a weakness. The platform works for hair stylists, nail technicians, estheticians, personal trainers, yoga instructors, and massage therapists under one roof. Features are built for the common denominator of these very different businesses. Massage-specific scheduling features (outcall, couples massage, on-call availability, clinical intake flows) are absent.
Our approach
Massage-first by design. Every scheduling, documentation, and access control decision is made with the massage therapist and manual therapy practitioner as the primary user.
Per-user pricing
Vagaro
Vagaro's pricing scales with the number of practitioners: $30 for 1, $40 for 2, up to approximately $90 for 7+. For growing practices, cost scales linearly with headcount in the same pattern as ClinicSense and Jane. The base price per user is lower than any competitor here, but the value delivered per dollar is lower too — clinical documentation features are absent entirely.

Access control
Vagaro
Standard role-based access controls appropriate for a service business. Owner, manager, and employee roles. No per-record or per-field policy controls. Not designed for clinical privacy requirements.
Our approach
ABAC from the data model up. Clinical records are protected by runtime policy evaluation from day one. The architecture scales from a solo practitioner who wants full control over their own data to a multi-therapist clinic that needs fine-grained separation of clinical and administrative access.
